U-Link EMR access

U-Link provides free, secure, password-protected access for physicians and other licensed healthcare providers and your support staff to the electronic medical record (EMR) of patients whom you refer to UW Medicine or whom we refer to you.

Available through U-Link

U-Link provides access to the records of patients at:

  • Harborview Medical Center
  • Northwest Hospital & Medical Center — select outpatient clinics
  • Seattle Cancer Care Alliance
  • UW Medical Center
  • UW Neighborhood Clinics

Records from Valley Medical Center, Seattle Children’s Hospital or inpatient records at Northwest Hospital & Medical Center are not currently available.

Records may include:

  • Lab results
  • Dictated notes and transcripts
  • Medication lists
  • Radiology reports
  • Radiology scans and images
  • Patient past and future visits

Enroll in U-Link

  • Complete the U-Link enrollment form.
  • Send the form as an email attachment to ulink@uw.edu. If email isn’t an option for you, you may print and fax it to 206.598.4624.
  • A U-Link representative will email you about:
    • How to get a login name (UW NetID) and password for U-Link access
    • How to begin using U-Link
  • Enrollment normally takes at least two weeks and may take up to two months during peak times (April-July, when we onboard new residents). For immediate access to patient records, call UW Medicine Medical Records at 206.744.9000.
  • At least one provider and a Group Representative must submit their enrollment forms first to establish a U-Link group account for a clinical practice. The Group Representative should be one of the practitioners or staff members who will be enrolling in and using U-Link most frequently.

Forgot your login name (UW NetID):
Call the UW Information Technology (IT) Service Center at 206.221.5000 or 206.685.5352 (TTY), 24 hours a day.

Reset your password:
Reset it online, or call the IT Service Center at 206.221.5000 or 206.685.5352 (TTY), 24 hours a day. To protect patient records and comply with regulations, you must reset your U-Link password at least once a year.

Tell us about changes:
Group Reps: to keep your account active, you will complete an annual verification process. We’ll alert you via email and messages within the application about this process. Make sure you complete it within the timeframe we provide. If a member leaves your group or you have other practice changes, call UW Medicine Strategic Outreach at 206.598.5693 or email us to update your record.

Digital image transfers

You may send images online securely via VPN to UW Medicine Central Image Processing for the following locations: 

  • Harborview Medical Center
  • UW Medical Center
  • ​​Northwest Hospital and Medical Center
  • Seattle Cancer Care Alliance
  • UW Neighborhood Clinics
  • Regional Heart Center​
    (Not Valley Medical Center or Seattle Children's.)

UW Medicine image transfers

Step 1: Complete Web form

  1. Using Internet Explorer, navigate to https://www.reachuw.org/.
  2. Log in using your hospital’s or group’s assigned key.
  3. Complete each section of the form. Fields with “*” are required.
  4. Click on “Submit Request.”

Step 2: Send studies/images to TELERADWORKS, 24 hours/day, 7 days/week

  • If Web access or the Web form is unavailable, print the form and fax to 206.744.6377. As a backup, a PDF file of the form will be sent to all VPN hospitals.
  • Web form support: To request your login key or for any issues with the online Web form, please contact the UW Medicine IT Helpdesk at 206.543.7012 or email mcsos@uw.edu.

Important notes

  • Internet Explorer is required.
  • Diagnostic reports still need to be faxed directly to the requesting UW Medicine clinic or department.
  • When requesting images to be sent from HMC or UWMC to your hospital, please contact the file room that stores the archived images, or access the patient’s record in U-Link PACS to view the images:
  • When using the Web form, it is not necessary to follow up with a phone call.
  • If your facility does not yet have an established VPN connection with UW Medicine to send radiology images online, please contact the UW Medicine IT Helpdesk at 206.543.7012 or email mcsos@uw.edu.​

View your patient’s radiology records through U-Link, or contact the file room that stores the archived images and reports. For mail, fax or email inquiries, please include the following patient information with your request:

  • When you need the records
  • Dates of service you are requesting
  • Address where copy is to be mailed to
  • Provider’s name
  • Date of birth
  • Last name, First name
